…or something like that. But you get the point: your voicemail must express your companies personality.

  1. Tell them why you are not available at that moment. And do not do it as if they interrupted you from something. Be friendly – use jokes if appropriate. For example, you could say something around the lines of: “Unfortunately, our working hours end at 5 PM, but don’t worry. You can leave us a voice message and we will listen to it first thing in the morning. Promise!”
  2. Give them brief and clear instructions about how they should leave their voicemail. Be short with your instructions: ask them to leave their name and a form of contact (either phone number or email address). It can be like this: “To make it easy to get back to you, please leave your full name and contact details after the beep, and then continue with your inquiry”.
